Agreement to Terms
By accessing or using Submission Workbench ("Service"), you agree to be bound by these Terms of Service ("Terms"). If you don't agree to these Terms, please don't use our Service.
Description of Service
Submission Workbench is a web-based submission tracking service for writers and speakers. We help you:
- Track manuscripts, presentations, and creative works
- Manage submissions to publications, agents, conferences, and competitions
- Monitor deadlines, response times, and submission status
- Organize your submission pipeline and workflow
What We Store (Important!)
Submission Workbench stores metadata about your work, not the work itself:
- We store: Titles, word counts, genres, submission dates, market names, statuses, notes, and links to your documents
- We DON'T store: The actual content of your manuscripts, stories, novels, presentations, or any creative work
Your creative work remains in your chosen cloud storage (Google Drive, Dropbox, OneDrive, etc.) or on your local device. We only store links to help you access your files.
Intellectual Property Rights
Your Content Remains Yours
You retain all rights, title, and interest in your creative work. We make no claim whatsoever to the intellectual property in your manuscripts, presentations, stories, novels, or any other creative content you track using our Service.
License to Metadata
By using our Service, you grant us a limited license to store and display the metadata you provide (titles, submission info, notes) solely for the purpose of providing you with our submission tracking service.
Service Content
The Submission Workbench service itself, including its software, design, text, graphics, and user interface, is owned by us and protected by copyright, trademark, and other intellectual property laws.
Account Registration
To use Submission Workbench, you must:
- Be at least 13 years old
- Provide accurate and complete registration information
- Keep your password secure and confidential
- Notify us immediately of any unauthorized use of your account
You are responsible for all activity under your account. We reserve the right to refuse service or terminate accounts that violate these Terms.
Subscription and Billing
Free Trial
New users receive a 14-day free trial with full access to all features. A valid payment method is collected at signup but you will not be charged until the trial period ends. You may cancel at any time during the trial. At the end of the trial, your subscription will begin and your payment method will be charged unless you have cancelled.
Paid Subscriptions
- Billing: Subscriptions are billed annually or as lifetime purchases
- Payment: Processed securely through Stripe (we don't store payment information)
- Automatic Renewal: Annual subscriptions renew automatically unless cancelled
- Cancellation: Cancel anytime from your account settings
- Refunds: Contact us within 14 days of purchase for refund consideration
Cancellation
You can cancel your subscription at any time. When you cancel:
- Your subscription remains active until the end of your current billing period
- You'll have read-only access to your data after expiration
- You can export your data at any time
- You can reactivate your subscription to regain full access
Account Deletion and Data Export
Export Your Data
You can export all your data at any time in CSV format from Settings → Import & Export. This includes all manuscripts, markets, submissions, and tracking information.
Delete Your Account
You can permanently delete your account from Settings → Account Settings. When you delete your account:
- All your data is immediately marked for deletion
- Your data is permanently removed from our servers within 30 days
- This action cannot be undone or reversed
- We strongly recommend exporting your data before deletion
Acceptable Use
When using Submission Workbench, you agree NOT to:
- Violate any laws or regulations
- Infringe on others' intellectual property rights
- Harass, abuse, or harm other users
- Attempt to hack, reverse engineer, or compromise the Service
- Use automated scripts or bots to access the Service
- Resell or redistribute the Service
- Use the Service for any illegal or unauthorized purpose
- Upload malware, viruses, or malicious code
Service Availability
We strive to provide reliable service, but we cannot guarantee:
- Uninterrupted or error-free operation
- That the Service will meet all your requirements
- That all defects will be corrected immediately
We may perform maintenance, updates, or modifications to the Service. We'll provide notice when possible, but emergency maintenance may occur without warning.
Limitation of Liability
To the maximum extent permitted by law:
- Submission Workbench is provided "as is" without warranties of any kind
- We are not liable for any indirect, incidental, or consequential damages
- We are not responsible for lost manuscripts, missed deadlines, or rejected submissions
- Our total liability is limited to the amount you paid us in the past 12 months
Important: We are a tracking tool. We help you organize and manage submissions, but we cannot guarantee acceptances, responses, or outcomes from markets. You are responsible for meeting deadlines, following submission guidelines, and managing your own creative work.
Backup and Data Loss
While we perform regular backups of our systems:
- We are not responsible for data loss due to technical failures
- You should maintain your own backups by regularly exporting your data
- We recommend exporting your data periodically as a precaution
Third-Party Services
Submission Workbench integrates with third-party services (Google Drive, Dropbox, OneDrive, etc.). We are not responsible for:
- The availability or reliability of these services
- Changes to these services or their terms
- Data stored in your third-party accounts
Your use of these services is governed by their respective terms and privacy policies.
Modifications to Service and Terms
We may modify these Terms or the Service at any time. When we make significant changes:
- We'll notify you by email or through the Service
- The updated Terms will be posted with a new "Last Updated" date
- Continued use of the Service constitutes acceptance of the new Terms
- If you don't agree with the changes, you may cancel your account
Termination
We reserve the right to suspend or terminate your account if:
- You violate these Terms
- Your account shows fraudulent or abusive activity
- Required by law or legal process
- We discontinue the Service (with advance notice)
You'll have the opportunity to export your data before termination unless prohibited by law.
Governing Law and Disputes
These Terms are governed by the laws of Australia. Any disputes shall be resolved in the courts of Australia.
Before filing any legal action, we encourage you to contact us to resolve the issue informally.
Indemnification
You agree to indemnify and hold harmless Submission Workbench from any claims, damages, or expenses arising from:
- Your use of the Service
- Your violation of these Terms
- Your violation of any rights of another party
- Content you submit through the Service
Severability
If any provision of these Terms is found to be unenforceable, the remaining provisions will remain in full force and effect.
Entire Agreement
These Terms, together with our Privacy Policy, constitute the entire agreement between you and Submission Workbench regarding use of the Service.
